Travel Assistant Needed In Japan

The primary purpose of this position is to provide exceptional customer service for the Information, Tickets, and Travel (ITT) Office at the 35th Force Support Squadron, Misawa AB Japan. As an ITT team member, you’ll assist patrons by providing information about leisure activities, selling tickets, making reservations, and arranging special accommodations for tours, sporting events, theaters, and more. This is a unique opportunity to serve the military community in Japan while utilizing your bilingual skills in English and Japanese.

About the Position

This is a Flexible category position, guaranteed 0 hours per week, with the potential to work up to 40 hours depending on the needs of the facility. You’ll be the go-to person for individuals and groups planning travel, offering assistance with commercial transportation, hotel reservations, and local services. Your work will directly enhance the quality of life for service members, families, and civilians stationed at Misawa AB.

Key Responsibilities

  • Assist patrons by providing information concerning leisure activities, selling tickets, making reservations, and arranging special accommodations for tours, sporting events, theaters, and special events.
  • Provide full assistance to individuals or groups planning travel, including commercial transportation, hotel reservations, and other local services.
  • Offer information on tour itineraries, train and bus schedules, ferry schedules, train passes, boat cruises, camping locations, ski resorts, recreational parks, sight-seeing tours, shopping excursions, festivals, fairs, and cultural events.
  • Ensure fees are collected, receipts are issued and maintained, and revenue is accurate and appropriately processed.
  • Operate travel reservation terminals and equipment.
  • Coordinate tour guides and escorts for trips.
  • Prepare all materials needed for drivers, tour guides, and escorts for assigned trips.
  • Occasionally perform escort duties as needed.
  • Maintain proper inventory levels of brochures, maps, and flyers for customer availability.
  • Request toll pass tickets and prepare month-end fuel reports.
  • Advertise tours on AFN Radio and assist in maintaining ITT social media sites.
  • Sell in-house international tours, commercial air and ground transportation, hotel accommodations, car rentals, and vacation packages via internet e-ticketing.
  • Complete all necessary phone calls and forms for booking reservations, ensuring customers are advised of all pertinent information and procedures.
  • Perform related administrative support duties.
  • Provide translation services for customers with individual travel plans.
  • Work an uncommon tour of duty including days, nights, weekends, and holidays as required.

Qualifications

Experience Required:

  • Must have experience providing practical knowledge of travel industry rules, regulations, and procedures.
  • Must be able to communicate effectively in English and Japanese.
  • Possess skill in dealing with the public in a professional and courteous manner.
  • Well-organized, accurate, and detail-oriented.
  • Cash handling experience required.
  • Computer experience and ability to learn the e-ticketing process.
  • Experience in retail sales providing technical knowledge of salesmanship is highly desirable.

Conditions of Employment:

  • Must be able to satisfactorily complete a Tier 1 background investigation.
  • Must have a valid passport.
  • Must have lived in the US for a minimum of 3 consecutive years (for non-U.S. citizens).
  • May be required to work an uncommon tour of duty including days, nights, weekends, and holidays.

  • Non-U.S. citizens must have resided physically in the United States or U.S. Territory for at least 3 years prior to employment.
